Visitor and gate management with QR visitor passes
Yaqiz turns the paper gate book into an electronic visitor log shared by the office and the gate. Your staff invite expected visitors, and Yaqiz issues each one a QR pass. At the gate, a guard scans it in the Android guard app, or registers a walk-in and hands over a printed visitor card. Every visit records who admitted the visitor and, when someone checks them out, who did.
Invite visitors and send a QR code visitor pass
In the web console, or the same console in the Yaqiz Admin Android app, invite a visitor with a name and an expected time window. Yaqiz issues the QR pass at once and emails it to the visitor if you add their email address. You can also print a compact A6 pass or save it as a PDF, copy its link or, when a phone number is on file, open WhatsApp with a ready message for you to send. A pass works until the visitor checks out, the pass is revoked or it expires, whichever comes first.
Visitor check-in and check-out at the gate
The Gate is the visitor log inside the guard app, so your security guards carry it on their phones. It appears only for guards whose role may register visitors, and opens only once they clock in.
- Scan pass: the guard scans the QR on an invited visitor's pass and gets a clear verdict, such as “Pass is valid” or “Pass has expired”.
- Issue card: for a walk-in, the guard picks the visitor type, fills in its fields, then scans a free printed card from your pool to link it to the visit and hand it over.
- Check-out: in the guard app, a visit closes only when the guard scans the pass or card again; the card is freed for the next visitor, and console users who see that site's visitors are notified. The console can also check a visitor out, for example when a card is lost.
Reading Egyptian national IDs, driving licences and passports
In the guard app and the Yaqiz Admin app, the operator picks National ID, Driving licence or Passport and points the camera at the document. The phone itself reads the ID number and the name into the form for review; an uncertain reading is only offered as a suggestion. After saving, lists show only the last four digits of an ID number, and only to roles allowed to see them. Every full reveal is written to the audit log.
A visitor blacklist and control-room approvals
The blacklist, or do-not-admit list, holds a person's name, phone or national ID with a required reason, permanently or until a date you choose. At the gate, the guard sees “Do not admit” with the reason on file and cannot register the person: they turn them away or ask the control room for a one-time exception, and the request stays on record.
You can also require approval by role: the request appears at once in the Gate requests queue, and the visit is registered when an approver says yes.
Visitor types, printed cards and the Visitors report
Every company starts with four visitor types, Person, Vehicle, Contractor and Delivery, and can add its own with Arabic and English names, each with its own fields to fill in on the way in, on the way out, or both. The Badges tab runs your pool of printed QR visitor cards. The Visitors report comes as a branded PDF with your company's name, plus Excel, CSV and JSON for roles allowed to export ID numbers.
Visitor management, ID scanning included, depends on your plan; the Visitors report also needs the PDF reports feature, and designing your own card layouts needs the Branding feature.
Frequently asked questions
Can the web console scan national ID cards?
No. ID reading runs on the phone in the two Android apps and needs Android 8.0 or newer on a 64-bit phone. It reads Egyptian national ID cards, Egyptian driving licences and passports (from their machine-readable lines). In a browser, staff type the details in.
Does Yaqiz send the pass by WhatsApp or SMS?
Yaqiz sends the pass by email. “Open in WhatsApp” appears when the visitor's phone number is on file, and it only opens a ready message that you send from your own WhatsApp. Yaqiz sends no SMS. Neither the pass nor its email ever shows the visitor's ID number.
Does the Gate in the guard app work without internet?
No. Registering, admitting and checking out visitors all need a connection, and nothing at the Gate is saved to send later.
Can we separate several gates at one site, or connect turnstiles?
No. Visits and passes are recorded per site, with no named gates inside it, and Yaqiz does not connect to turnstiles, barriers or security cameras. Each visitor is admitted in the guard app or the console.
