Guard clock-in by selfie and GPS, inside the site geofence

With Yaqiz, guards clock in and out from the guard app on their Android phones, with no time clock at the gate. A clock-in is accepted only from a guard on the shift, inside the site zone, within the shift window and with a live photo. The office sees who is on duty, late or absent in the web console or the Yaqiz Admin app.

Clock in with GPS and a live photo

The guard taps Clock in. Before the camera opens, Yaqiz checks the shift, the site zone and the time window, and tells the guard why if a check fails: too far from the site, say, or the shift has ended. The in-app camera then takes a live photo, a front-camera selfie by default, with no gallery option, and the server stores the time, the position and the photo with the punch.

  • Clock-out needs a photo too. It is accepted anywhere and marked inside or outside the zone.
  • Guards can clock out for a break and back in; every session is kept and only time worked is added up.
  • Patrols, incidents, the gate and the walkie-talkie unlock at clock-in. SOS works on or off duty.

Shifts, geofences and live attendance

Managers build weekly shifts in the web console or the Yaqiz Admin app: days, hours, a grace period, one or more sites and the guards. Night shifts that cross midnight count on the day they start. A site's geofence is a boundary drawn on the map, with 50 m allowed for GPS error, or a circle of 20 to 2,000 m around the site's centre.

  • Live attendance lists each guard rostered on today's shifts as not started, on duty, not clocked in, shift done, or absent once the shift has ended, marks late arrivals late by N min, and refreshes every 30 seconds.
  • Each punch opens to show its time, its photo and its place on a map, inside or outside the zone.

Late and absent alerts, and lone-worker check-ins

A clock-in after the start plus the grace period sends a Late clock-in notification, in the console bell and as a push, to the managers and supervisors who cover that site. Guards who never clocked in are reported as Absent after the shift ends. Users you allow can opt in to these by email, grouped every 15 minutes as a table with a PDF copy.

For lone workers and long night posts, turn on presence check-ins per shift. The phone asks “Are you OK?” at the interval you set, with a live selfie on every Nth check-in. Three misses in a row suspend the guard automatically, close their open session and alert the supervisors.

Time and attendance reports in PDF, Excel and CSV

The Log tab covers a range of up to a full year by site, shift and guard, marking each day present, late, no clock-out or absent. The Attendance report has one row per guard, per shift, per day, absentees included, with employee ID, scheduled hours, every punch, time worked and status. It comes as a branded PDF with your company name, or as Excel, CSV or JSON when your plan includes Attendance export. The columns are fixed so payroll can import them; there is no direct payroll integration.

Shifts & attendance, presence check-ins, the Reports page, Excel/CSV/JSON attendance export and email alerts each depend on your plan.

Frequently asked questions

Does clocking in need an internet connection?

Yes. Clock-in and clock-out need a connection, location and the camera at that moment. If the signal drops, presence check-in answers are saved on the phone and sent when it returns. They count if they arrive within the answer window plus up to an hour; later ones stay missed.

Who reviews the clock-in photo?

The managers and supervisors who cover that site. The photo is stored privately with the punch as proof, and people review it, not software.

Will I know during the shift if a guard is missing?

Yes: Live attendance shows them as not clocked in. The Absent notification comes only after the shift ends.

What if a guard forgets to clock out?

There is no automatic clock-out at the end of the shift. The day shows as no clock-out in the log and the report, or as late if the clock-in was late.

Can a supervisor add or correct a punch?

No. Nobody can add, edit or punch in for a guard; punches come only from the guard. The only exceptions: when a guard is suspended (automatically or from the console) or their account is deactivated, their open session is closed, with no photo or position.
