Guard tour system with QR checkpoints and location-checked scans
Yaqiz turns guard tours into a record you can check. The office sets up checkpoints and patrol routes in the web console. On duty, the guard scans each checkpoint's QR code in the Android guard app, which saves a scan only after a GPS check that the guard is within that checkpoint's allowed distance. Supervisors follow every round at their sites, and rounds can be exported as reports.
Set up checkpoints and patrol routes
Add each site's floors and floor plans in the console. Each new checkpoint gets its own QR code: pin it on the plan, set its map location and an allowed distance of 10 to 5,000 metres, then download the cards as a print-ready PDF.
A checkpoint can carry an optional checklist of up to 20 items, each with a photo required, optional or not needed, used on every route that includes it. Each patrol route then gets:
- Two or more checkpoints, scanned in any order.
- One or more time windows with their own days, including windows past midnight, in the site's own time zone.
- A lateness tolerance, a reminder lead time and the assigned guards.
In the field: a security patrol app that checks where the guard stands
Once clocked in, the guard opens Patrols in the Android guard app. After reading a QR code, the app takes a fresh GPS reading and saves the scan only if the guard is within the allowed distance with an accurate enough reading. A location the phone flags as fake fails outright.
- Checklist photos come only from the app's own camera, never the gallery.
- A checkpoint or checklist item can be skipped with a written reason, such as a locked door.
- On duty, alarm-style reminders ring before each window of a route assigned to the guard, and at the start if the round hasn't begun, even with the screen off.
Proof of patrol for supervisors: the patrol log
The console's Patrol log lists every round at your sites as Complete, Incomplete, Missed or In progress, with badges such as minutes late or scans off-site. Each round's page shows coverage, each checkpoint's scan time, distance and verdict, skip reasons, checklist answers with photos, and a map comparing where the guard stood with the checkpoint.
The server checks every scan again and counts only those that pass. Supervisors who cover the site are notified in the console and by push on their phone or browser when a patrol does not start on time, is missed or finishes incomplete.
Patrol reports in PDF, Excel or CSV
The Reports page has two patrol reports, filtered by site, route and checkpoint and exported as a branded PDF, Excel or CSV. The Yaqiz Admin app can share them straight from the phone.
- Patrol rounds: one row per round, with lateness, skipped checkpoints and items, missing photos and uncounted scans.
- Checkpoint visits: every visit and checklist answer, with photo thumbnails in the PDF.
- Opt-in emails: a Patrol report after each finished round with its PDF, and Patrol alerts grouped every 15 minutes.
Patrols with QR checkpoints depend on your plan, as do the Reports page and email alerts.
Frequently asked questions
Can a guard scan a photo of the QR code without being at the checkpoint?
Reading the code is not enough. The app saves a scan only if the guard's GPS reading is accurate enough and within the allowed distance you set for that checkpoint, and it fails a location the phone flags as fake. The server checks the scan again before counting it.
Does the guard tour app work without mobile signal?
For patrol work, yes, using the routes saved the last time Patrols was opened online. Scans, skips, checklist answers and photos stay on the phone and are sent when Patrols is opened or refreshed with a connection. Clocking in still needs a connection.
What do we need to get started?
A printed QR card at each checkpoint, with its location saved on the map, and a phone running Android 7.0 or newer for each guard. Managers and supervisors use the web console, or the Yaqiz Admin Android app if their account is allowed to sign in to it. There is no iPhone app.
