Hotel security management, from night rounds to the service entrance

A hotel never closes, and neither does its security. Guests come and go all night, suppliers reach the service entrance before breakfast, and one guard may cover several floors alone. Yaqiz gives your guards an Android app and your control room a web console, so patrols, gate entries, emergencies and attendance become records, not notebook pages.

Night guard tours across every floor

Set the hotel up floor by floor: add its floors, basement car parks included, upload each plan and pin QR checkpoints at fire exits, plant rooms, the roof and the pool. Then group them into patrol routes with time windows that run past midnight.

  • A scan counts only when the phone's GPS fix is within the distance you allow for that checkpoint, accurate enough and not flagged as fake.
  • Checklists on the checkpoints you choose, such as “fire door closed”, with photos from the app's camera, never the gallery.
  • Alarm-style reminders ring on the on-duty guard's phone before each round, even with the screen off.
  • When a floor round is missed, isn't started on time or ends incomplete, the supervisors who cover the hotel get a notification.

Suppliers, contractors and deliveries at the service entrance

Guests check in at reception; security handles everyone else. The staff-entrance guard registers each supplier, contractor or delivery driver under the right visitor type, hands over a QR visitor card, and closes the visit only by scanning that card again on exit.

  • Invite suppliers or a wedding set-up crew in advance; each person gets their own QR pass by email, link, a WhatsApp message you send, or print.
  • A visitor type's goods list records event equipment item by item.
  • A do-not-admit list stops anyone matching an entry's ID number, phone or name; only the control room can grant a one-time exception.
  • For a supplier who arrives without a pass, the guard app or Yaqiz Admin on Android reads an Egyptian national ID or driving licence, or a passport, and fills in the ID number and name.

When something happens on a floor at night

A guard facing an aggressive person or a collapsed guest double-taps SOS. After a five-second countdown, during which they can still cancel, colleagues assigned to the hotel get a siren alert showing who needs help and where, and can answer “I’m on my way”. The control room sees a red banner and a live map of the guard and the responders, then closes the alert with a reason.

  • Guards report theft, medical cases, fire or suspicious activity with a severity and up to 10 camera photos; managers assign each incident to a team member and follow every change on its timeline until it is resolved.

Long shifts, wide grounds, several hotels

Guards clock in with an in-app photo from inside the hotel's boundary, and the console shows who is on duty, late or absent. On the night shifts you pick, a guard covering several floors alone is asked “Are you OK?” at your chosen interval, and three unanswered prompts in a row take them off duty and alert supervisors.

  • Recorded push-to-talk voice clips on each hotel's Main channel, so the night team stays in touch from floor to floor.
  • On a resort, live tracking maps on-duty guards and alerts the guard and supervisors when one stays outside the hotel's boundary for three minutes.
  • A hotel group runs each property as its own site on its local time, in Egypt, Saudi Arabia or the UAE; supervisors see only their assigned hotels.

Patrols, visitor management, SOS, incidents, attendance, presence check-ins, the walkie-talkie and live tracking each depend on your plan.

Frequently asked questions

Does Yaqiz register hotel guests or connect to our hotel systems?

No. Visitor management is built for the people security admits at the gate, such as suppliers and contractors, not for guest check-in. Yaqiz does not connect to hotel management systems, key-card locks or CCTV.

Can Yaqiz tell which floor a guard is on?

Not by positioning: the GPS check only measures distance from the checkpoint. The scan itself shows the floor, because each checkpoint has its own printed QR card fixed on that floor and pinned on its plan in the console.

What if there is no signal in the basement car park?

SOS alerts, patrol scans, presence check-in answers and location positions are saved on the phone and sent later. A scan still needs a location fix at the checkpoint, which may fail underground; the guard then skips that checkpoint with a reason. Clock-in, incident reports, gate registrations and the walkie-talkie need a connection.
