Guard management system for security companies

A guarding company is judged on what happens at sites its managers cannot see: who turned up, whether the night round was walked, what the guard did when something went wrong. Yaqiz is a guard management system: a web console for your office, an Android app for your guards, and a photo and GPS position on every clock-in that you can open in the console.

Who is really on duty at each client site

Build weekly shifts for each client site, night shifts across midnight included. A guard clocks in from the Android app only inside the site's zone, within the shift's window and with a live photo.

  • Live attendance shows each guard as On duty, Late, Not clocked in or Absent, refreshed every 30 seconds.
  • Supervisors covering the site are notified of late clock-ins, and of absences once the shift ends.
  • Presence check-ins, turned on per shift, ask “Are you OK?” at the interval you set; three misses in a row suspend the guard and alert supervisors.

Patrol proof you can show the client

Place QR checkpoints on the floor plans and map of each client site, print the cards and group them into scheduled routes. A scan counts only when the phone's GPS puts the guard within the checkpoint's allowed distance and the phone does not flag the location as fake. The server then checks every scan again.

  • The patrol log marks each round Complete, Incomplete, Missed or In progress.
  • Supervisors are notified when a round is not started on time, is missed or finishes incomplete.

Reports under your company's name

The Reports page exports Attendance, Patrol rounds, Checkpoint visits, Incidents, SOS alerts and Visitors as a PDF with your company name, plus your logo and colour when branding is part of your plan. Attendance comes one row per guard, per shift, per day, absentees included, in fixed columns your payroll team can take from Excel or CSV when your plan includes attendance export. In the Yaqiz Admin Android app, a report goes straight to the phone's share sheet.

Many sites, many supervisors, changing guards

  • Each supervisor sees only the sites assigned to them.
  • Four built-in roles, permissions added or removed for one person, and roles of your own if your plan includes them.
  • Guards sign in with your company code, employee ID and password; a printable QR card carries the code.
  • Deactivate a guard who leaves and keep their history; their seat is freed, because only active users take a seat.
  • Supervisors you allow can use the same console on an Android phone through the Yaqiz Admin app.

When a guard is alone at night

  • A double-tap SOS with a cancellable 5-second countdown alerts the site's staff and the supervisors who cover it. Without signal, it waits on the phone and is sent automatically later.
  • Live tracking alerts you when a guard stays outside the site zone or their position stops arriving.
  • The walkie-talkie sends push-to-talk voice clips over the guards' own phones, with no radio handsets to buy.

Shifts and attendance, patrols, live tracking, presence check-ins, SOS, the walkie-talkie, incidents, visitors, reports and their exports, custom roles and branding each depend on your plan.

Frequently asked questions

Can we run all our client sites from one account?

Yes. One company account holds many sites, each with its own map boundary, automatic time zone, shifts and patrol routes.

What if a site has weak signal?

Patrol scans, SOS alerts, presence check-in answers and on-duty positions are saved on the phone and sent later, once there is a connection. Clock-in, incident reports and visitor registration need a connection.

Which phones do guards need?

A phone running Android 7.0 or newer. The app is downloaded from yaqiz.app/guard, and there is no iPhone app.

Does Yaqiz connect to our payroll system?

Not directly. Attendance exports in fixed columns as Excel, CSV or JSON when your plan includes attendance export, ready for your payroll team to import.

How do we get started?

The Yaqiz team creates your company account and its first administrator. You then add your sites, shifts and guards yourselves.
