Security incident reporting and guard reports, from the field to PDF and Excel
Yaqiz turns what guards see on shift into records your office can act on. A guard reports an incident from the Android guard app with a type, a severity and camera photos. Your managers handle it on the incident board in the web console or the Yaqiz Admin app, and the Reports page exports attendance, patrol, SOS, incident and visitor reports as branded PDFs.
An incident reporting app for guards, with photos
Once clocked in, a guard opens Incidents in the Android guard app, picks a type and a severity, and writes what happened. The site is pre-filled from their shift. Photos are taken live with the camera, up to 10 per report, and never come from the gallery.
- Eight types: Intrusion, Theft, Vandalism, Fire, Medical, Safety hazard, Suspicious activity, Other
- Four severities: Low, Medium, High, Critical
- “My reports” shows each guard their own reports, their status and who handled them
- Sending needs an internet connection; if it fails, the form stays filled in for a retry
Security incident management software, on one board
A new incident notifies everyone who can view incidents at that site, except the person who reported it, in the notification bell and by push; tapping it in the bell opens the incident. In the web console or the Yaqiz Admin Android app, incidents are grouped under Open, In progress and Resolved. Managers assign them to people at their sites, move them to In progress, resolve or reopen them, and the Timeline records every change with who made it and when.
- The description is fixed once sent; photos, assignee and status can still change, and each change is logged
- On a resolved incident, “Report a related incident” files a linked follow-up, pre-filled with the same site and type
- Staff with reporting rights can also file incidents from the console, with up to 10 images
Six guard reports: PDF for all, Excel or CSV for some
The Reports page, in the console and the Yaqiz Admin app, exports six reports for today, the last 7 or 30 days, this month or a custom range. Each comes as a PDF with your company name, the period and page numbers, in Arabic or English, and carries your logo and colour when your plan includes branding. In the Yaqiz Admin app the file goes to the Android share sheet. Other formats depend on the report:
- Attendance: one row per guard, shift and day, absentees included, with every clock-in and clock-out. Also Excel, CSV or JSON with the Attendance export feature
- Patrol rounds and Checkpoint visits: every guard tour round, skipped checkpoints and checklist answers. Also Excel or CSV
- Visitors: also Excel, CSV or JSON, but only for roles allowed to export ID numbers, showing just the last 4 digits
- SOS alerts and Incidents: PDF only. The Incidents report is a list, without descriptions or photos
Audit trail and email alerts
The audit trail records who changed users, sites, shifts, incidents, SOS alerts, roles and branding, with old and new values. Entries cannot be edited and are kept for one year. Email alerts are opt-in: each user picks theirs once an admin grants the permission for each one.
- Patrol report: an email after each finished round, with the round's PDF attached
- Attendance alerts and patrol alerts: each grouped into its own email every 15 minutes, with a table and the same table as a PDF
- On duty alerts, such as a guard suspended for missed check-ins or outside the site's zone: one email per event, as it happens
- No scheduled report emails, and no email alerts for incidents, SOS or visitors
Incident reporting, the Reports page, attendance spreadsheets, patrol reports, email alerts, and your logo and colour on PDFs depend on your plan; the audit trail is included in every plan.
Frequently asked questions
What does a guard's incident report contain?
The type and severity, the site, a description of what happened and up to 10 camera photos, filed under the guard's name and time-stamped when sent. Because guards fill in the same form every time, every report arrives with the same fields, with no paper template.
Can a guard send an incident report without internet?
No. Sending needs a connection, and if it fails the form stays filled in for a retry. Only SOS alerts, patrol scans and checklists, presence check-ins and on-duty locations are saved on the phone and sent later.
Can we feed the attendance report into payroll?
Its columns are fixed from one export to the next, so with the Attendance export feature you can download it as Excel, CSV or JSON and import it into your payroll tool. There is no direct link to payroll or HR systems.
Who can see the reports?
Each user's reports cover only their assigned sites, unless their role can see all sites, and downloading needs the export permission in their role.
